On Q Communications is committed to protecting your privacy and ensuring the security of your personal information. This policy outlines our obligations regarding the collection, use, disclosure, and protection of your personal information, including data collected through our applications such as the On Q UC Client and other On Q Communications apps.

We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We also adhere to the Telecommunications Act 1997 (Cth), which imposes specific obligations on carriers and carriage service providers regarding the handling of telecommunications data. These instruments govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, phone and facsimile numbers.

This Personal Information is obtained in many ways including interviews, correspondence, by telephone and facsimile, by email, via our website www.onq.com.au, from your website, from media and publications, from other publicly available sources, from cookies provided by third-party websites and from third parties. We don’t control or possess any information, including Personal Information, which you submit or provide to websites run or provided by others, that may be linked to from our website.

We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing or acting on the links in emails.

Sensitive Information


Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Typically, we do not collect such information. In any case that we do your sensitive information will be used by us only:

  • For the primary purpose for which it was obtained
  • For a secondary purpose that is directly related to the primary purpose
  • With your consent; or where required or authorised by law.

How We Use Your Information

We use your personal information in different ways depending on the services you use and your interactions with us. This includes:

Service Registration and Account Management

– We collect information to verify your identity and set up your account. This includes your name, date of birth, email address, proof of identity, financial information (such as billing or mailing address, payment details, and order history), and phone number. For business, enterprise, and government clients, we also collect relationship or account manager contact details.

Use of ONQ Applications

Our apps may collect and process the following data:

  • Location data, when enabled, including precise or approximate location when the app is running in the foreground or background.
  • Transaction information, such as date, time, and duration of calls, and details about messages sent through the app.
  • Usage data, including access dates and times, app features used, pages viewed, browser type, app crashes, and other system activity.
  • Device data, including hardware models, IP addresses, unique device identifiers, operating systems and versions, software versions, advertising identifiers, and mobile network details.

Website and Online Services

We collect technical information and general analytics on website interactions, including web browser type, Internet service provider, referring/exit pages, timestamps, IP addresses, and geolocation data (if applicable). Some of this data is collected automatically.

Marketing and Communications

We collect contact details such as names, mailing or street addresses, email addresses, and phone numbers for sending promotional offers, service updates, and marketing materials. Customers can opt out at any time.

Customer Support and Feedback

We collect names, mailing or street addresses, email addresses, and telephone numbers to respond to inquiries, complaints, and service requests.

Credit and Financial Services

If you apply for trade credit, we collect information necessary to assess your creditworthiness, including credit history and trade references.

Recruitment and Employment

If you apply for a role with ONQ, we may collect information from your CV or application, interview notes, background checks, and government-issued identifiers such as tax file numbers.

Business and Supplier Relations

We collect business mailing addresses, email addresses, and individual contact information to manage relationships with our suppliers and distributors.

In some circumstances, we may ask you to provide personal information about other individuals, such as family members or authorized representatives. If you do so, you must obtain their consent and provide them with a copy of this Privacy Policy before sharing their information with us.

Information Collected via On Q UC Client and Other Apps

Our On Q UC Client application on Android or IOS, collects and processes personal information to enable communication features such as messaging, calls, and contact integration. When enabled, the application may access phone contacts, but this data is not stored beyond what is required to facilitate calls or messages. Users can revoke access at any time through system settings.

Images attached to chat or MMS messages are securely transmitted through our application programming interface. If a user opts to send an image, it may be stored as part of the message history. Users have control over image sharing and permissions.

Gravatar may be used within our applications to display avatar images linked to an encrypted version of a user’s email address. This is an opt-in feature that users can disable at any time. Email addresses are never transmitted in plain text, and no personal information is shared with advertisers or third parties.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the
following:
• Third parties where you consent to the use or disclosure; and
• Where required or authorised by law.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we may take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

ONQ Communications will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
